Important Information for Presenters, Conveners, and Facilitators

 

In advance of your arrival to DRS2018 Limerick, we would ask you to please read the information below carefully.

PAPER PRESENTERS

 

Presentation schedule

To find out when your paper presentation is scheduled please see the DRS2018 online schedule for your Track session. Please note we cannot change the schedule at this stage. The schedule is available online at: https://www.conftool.pro/drs2018/sessions.php

 

Preparing your paper presentation

Duration: Please contact your Track Chair before you prepare your paper presentation. They will indicate the time details for your presentation duration within a margin of 15 minutes.

 

File type: Please ensure the file type of your presentation is .pdf or .ppt or.doc.

 

Specialist software: If you require specialist software for your paper presentation, you may use your personal device during your presentation. Please send an email to DRS2018limerick@ul.ie before the 18th June if you wish to avail of this possibility. We require this information to ensure the session rooms are equipped and set-up in advance of the DRS2018 conference.

 

Uploading your presentation: Presenters must upload their presentations at least one day prior to their Track session to the ‘Speakers Room’ located in University of Limerick, Schumann Building (SG15). The Speaker’s Room will be open from 08.00–16.00, on Monday 25th June, Tuesday 26th June, and Wednesday 27th June. Early upload is appreciated.

 

Room and space

Each paper presentation room in the Kemmy Business School is either a theatre style room with fixed, tiered seating, or classroom with tables. The paper presentation rooms are located adjacent to each other, facilitating parallel sessions and ease of flow for delegates between presentation sessions.

 

Equipment

Please note each room is equipped with a computer, multimedia/data projector laptop connection VGA (no HDMI). If you wish to use your own laptop to present please bring any adaptors with you.  Please note there are VGA adaptors ONLY in the session rooms. Assistance before and during your Paper Presentation

Please note each paper presentation room will be supported by Student Volunteers. These Student Volunteers will be assigned to your Track session and will be available prior, and for the duration of your Track session.

CONVERSATIONS CONVENERS

 

Conversations schedule

To find out when your Conversation is scheduled please see the DRS2018 online schedule for your session. Please note we cannot change the schedule at this stage. We have attached the schedule to this email. It is also available online at: https://www.conftool.pro/drs2018/sessions.php

 

Sign up for Conversations

Please note that General Data Protection Regulation (GDPR) in force in Ireland since 25th May 2018. Due to GDPR we cannot share the details on participants signed up for your Conversation. However, if you require prior communication with your participants, please send an email to Conversations@drs2018.org with the information you wish to share, and we can forward to your specific Conversation participants. Please note such requests must be made by 20th June 2018.

 

If your Conversation sign-up has reached capacity, it is no longer listed on the DRS2018 sign-up page. If you wish to advertise your Conversation to people you know are attending DRS2018, please inform them to use this link to sign up. Please note only people registered for DRS2018 can sign-up for DRS2018 sessions.

 

Preparing your Conversation session

Duration: Please ensure you plan your Conversation session based on the duration on the DRS2018 schedule, which you specified. Please note that as many sessions are back-to-back you must conclude your session 10 minutes prior to the end of your dedicated timeslot. You can set-up the room in the morning or during the break time prior to your session. There will be Student Volunteers in the Schumann Building should you require support.

 

Materials and resources: Each room will be provided with a flip chart and markers. Please ensure you bring necessary additional materials and resources you require during your Conversation session. If there are any materials or resources you cannot travel with, please send an email to Conversations@drs2018limerick.org before 18th June 2018 to arrange postage or availability of materials.

 

File type: If you are using IT equipment, please ensure the file type is.pdf or .ppt or.doc.

 

Room and space

Each Conversation room in the Schumann Building is a classroom style room. Each room will be set up based on the requirements you specified in your Conversation proposal document. Each room will have chairs with desk arms, otherwise known as folding arm chairs, incorporating a swivel tablet surface that can be tucked away next to the seat when not in use. If your Conversation room set up / arrangement has changed, please send an email to Conversations@drs2018limerick.org before 18th June 2018.

Support before and during your Conversation

Please note each Conversation session will be supported by Student Volunteers. The Student Volunteers will be assigned to your session and will be available prior, and for the duration of your Conversation session. Student Volunteers will be located in the Schumann Building.

If they require anything additional or unusual you will have to supply it. Flip chart stand and two large tables are available. If there are any materials or resources you cannot travel with, please send an email to workshops@drs2018limerick.org to arrange postage or availability of materials.

Room and space

Each Workshop in the School of Architecture is an open floor space studio style room. Chairs in mixed condition are available. The room will be set up based on the requirements you specified in your Workshop proposal document. If this has changed, please send an email to workshops@drs2018limerick.org before 18th June 2018.

Please note each room is equipped with a screen for projection, no other fixed devices. Please note each room has a VGA connection (no HDMI). If you wish to use your personal device, please bring any adaptors with you. Mobile data projector is available. If you are using specialist software during your Workshop, you may use your personal device. Please send an email to workshops@drs2018limerick.org before 18th June 2018, so we can ensure our Student Volunteers know in advance of any support you may require.
